We collect or use the following information for student education and welfare:


· Names and contact details for students/children

· Names and contact details for parents, guardians, carers

· Gender

· Pronoun preferences

· Date of birth

· Special Educational Needs and Disabilities (SEND) or additional support information (includes reasonable adjustments and special educational needs and disabilities)

· Progress reports

· Exclusion, suspension and behavioural information


We also collect or use the following special category information for student education and welfare. This information is subject to additional protection due to its sensitive nature:

Lawful bases and data protection rights

How long we keep information


Inspired Inclusion keeps personal information only for as long as necessary to fulfil the purposes we collected it for. This includes meeting legal, safeguarding, and accounting requirements. After the relevant retention period, we securely delete or anonymise the data.


Retention schedule


  • Pupil/Student Records (including tuition notes, learning plans, and progress reports): Retained for 6 years after the pupil/student leaves our service.
  • SEND Advocacy Case Files: Retained for 7 years after case closure, unless a safeguarding concern requires longer retention in line with statutory guidance.
  • Safeguarding Records: Retained until the individual reaches age 25, in line with statutory safeguarding requirements.
  • Parental/Carer Contact Information: Retained for 6 years after the last point of contact with Inspired Inclusion.
  • Staff and Tutor Records: Retained for 6 years after employment/engagement ends.
  • Financial Records (e.g. invoices, payment details): Retained for 6 years, to comply with HMRC requirements.
  • Marketing/Communication Preferences: Retained until consent is withdrawn or we no longer send communications.

Secure deletion


When the retention period ends, we securely delete or anonymise personal information so that individuals can no longer be identified.

How to complain
